JobAdder: Workflow

Find the workflow settings by opening Secured Signing in the actions menu, and selecting ‘Admin’, then select the ‘Setting’ tab. 

Pre-Signing File Types

Set a Default file Type for unsigned documents: you can set a JobAdder file type for the document if it is from outside JobAdder or generated from a Secured Signing template or form filler / form direct.

If no setting is chosen for the file file type, Secured Signing will use the JobAdder default.

Post Signing Workflow

By setting up a post signing workflow rule, you can make the signing process part of an automated workflow. When the selected types of document are signed, the JobAdder field will be updated to the set value.

To add a rule

  1. Click ‘Add a Rule’ to generate new rule process.
  2. In the ‘Field’ column, select the JobAdder field you’d like to update with the signing process.
  3. In the ‘Value Change to’ column, set which value you’d like to update the field to, on completing the signing process.
  4. Select which documents cause the field change, you can also combine different types of documents in one rule
    • Secured Signing Form Direct form
    • Secured Signing Document Template
    • File type for We Sign document

Trigger

By setting up a trigger rule, when a chosen Record Status field is changed, selected template or form can be automatically sent.


To add a rule

  1. Click ‘Add a Trigger’ to create a new trigger process
  2. Select a JobAdder Record status from the first column
  3. Set ‘Change From’ and ‘To’ to what sort of change in record should start a signing process.
  4. Select the document(s) in the rule, you can combine different types of documents in one rule:
    • Secured Signing Form Direct form
    • Secured Signing Document Template

Click ‘Save Settings’ to save above settings.
