AES vs QES: Which Electronic Signature Does Your Document Need?

What Is an Advanced Electronic Signature (AES)?

An AES is a legally binding electronic signature that uniquely identifies the signer and is linked to the document in a way that detects any later changes. It’s the standard signature level for day-to-day business, and it’s what most notarisation workflows use when only one party is signing.

  • Corporate constitutional documents
  • General commercial agreements within the UK
  • Standard EU cross-border transactions
  • High-value contracts that don’t require third-party evidential weight

If you’re running a straightforward remote notarisation and the document doesn’t need to stand up unaided in a foreign court, AES is very likely all you need.

What Is a Qualified Electronic Signature (QES)?

A QES is the gold standard of digital signatures. It’s the only signature level that carries an automatic legal presumption of validity under the eIDAS Regulation, which means it’s harder to challenge and doesn’t need extra evidence to hold up in court.

To issue one, the signer needs face-to-face identity verification, typically done through a secure video call, and a certificate issued by a regulated Qualified Trust Service Provider (QTSP).

Frequently Asked Questions about Secured Signing Online Notary Platform

Remote electronic notarisation lets certain documents be notarised entirely over a live video link — such as Zoom or Teams — instead of meeting your notary in person. The notary verifies your identity using biometric technology, witnesses the signing, and applies their digital seal and certificate, all within the same appointment. Not every document qualifies for this route under current guidance; see our document eligibility guide above for what can and can’t be done remotely.

AES verifies the signer and secures the document against tampering. QES does the same, but adds face-to-face identity verification and a certificate from a regulated Qualified Trust Service Provider, giving it an automatic legal presumption of validity under eIDAS.

ID Verification with Biometric Face Matching: We verify the signer’s government-issued ID (e.g., driver’s license or passport) and use cutting-edge biometric face match technology to match the signer’s live video feed to the photo on their ID. This confirms the person on the call is who they claim to be, and gives the notary a documented basis for that identity check.

Realify is built directly into Secured Signing’s remote and electronic notarisation platform. It analyses the signer’s face and audio in real time, both before and during the appointment, and returns a clear authenticity result. This adds a further layer of protection against AI-generated deepfakes and identity fraud, on top of standard document and biometric checks.

IPEN lets you complete a notarisation digitally while still meeting your client face-to-face, as required for documents like deeds, affidavits, statutory declarations and wills. Rather than handling a paper signing and separate scanning step, the notary signs an electronic version of the document on the spot, ready for e-Apostille where required. It’s a practical fit for notaries who meet clients across multiple locations rather than from a single office.

Both AES and QES comply with UK eIDAS standards and are recognised across the EU. That said, recognition isn’t automatic everywhere. Always confirm with your foreign recipient, the receiving bank, court, or registry, that digital e-notarisation and e-Apostilles are accepted in their jurisdiction before you proceed.

Not everything is eligible for e-notarisation. UK-issued birth, marriage, and death certificates, along with criminal record checks, can’t be notarised online because they’re subject to Crown Copyright restrictions. Know this before the appointment starts, so you’re not caught out mid-process.

Note: Notarial practice differs across England & Wales, Scotland, Northern Ireland and Ireland, and not every document type or transaction is suitable for remote completion under current guidance (oaths, affidavits and statutory declarations, for example, typically still require physical presence in England & Wales).
